Marshal User Guide

Before using Event Marshal you must register an email address and log into the Event Marshal app.

See Registering with Event Marshal for details.

Registering as a Marshal

To register as a marshal in an event, select the event while registration is open and select the 'Register as Marshal' tick box. There is no need to select a race. Accept the terms and conditions and register for the event. Event organisers will receive your registration request.


Selecting Checkpoint

To select a checkpoint location tap <Select Checkpoint> or the edit icon at the top of the checkpoint screen. This will open the checkpoint selection screen.

The closest checkpoint to the marshals GPS location is shown as a shortcut button. If this is not the correct selection a list of all available checkpoints is available by tapping on the checkpoint below 'Select checkpoint from list' prompt. The distance from the current location to the checkpoint location is shown after each name.

Select the checkpoint required and 'Save'. This will select the checkpoint.

There is no limit to the number of marshals that can be simultaneously logged in at checkpoint.

If a marshal is more than 100m away from the register checkpoint location logging of competitors by that marshal will be disabled until they are less than 100m away.


Checkpoint Log Display

A checkpoint activity is recorded in a chronological log that can be viewed and scrolled through.

Tapping on an entry will show the selected competitors details (see below).


Competitor Display

Tapping on the 'Competitors' button on the bottom of the checkpoint display will give a summary of all the competitors currently logged with the checkpoint. As competitors log with checkpoint further on in the race they will be removed from this list.

Tapping on a competitor number will show the details for that competitors (see below).


Logging Competitors

There are three methods of logging a competitor with the checkpoint. Manual entry, Scanning using phone or tablet camera and using an external scanner or reader. Each option is discussed further below.

Manual Entry

Tapping the 'Log Competitor' button will open the manual entry competitor number screen.

Entering a number will give a summary of that competitors status. If a competitor is missing checkpoints or trying to log into the wrong checkpoint this will be indicated.

Tapping on the 'Details' button will show a competitors details (see below).

If logging of a competitor can take place (they are in the correct race, not disqualified or retired and are not entering a repeat log entry) the 'Log Competitor' button will be selectable. Tap this button to finish logging the competitor at the checkpoint.


QR or Barcode scanning

Pressing the 'Scan Code' button will open the camera scanning screen.

Event Marshal will scan the central area for a supported bar code or QR code. Bar codes can be of


External Reader (RFID or Barcode scanner)


Competitor Details

The competitor details screen shows the status and history log of a competitor in the event. The screen is divided into three areas: Status summary, Log and map.

  • Status Summary: An overview of a competitor is given showing the latest log data.

The Retire and Disqualify buttons are described below.

  • Log: Tapping on a log entry will centre the map to the location the entry was made. The 'first entry' and 'last entry' buttons will move the log to the earliest or latest entry.
  • Map: The map shows the checkpoints the competitor has and will log into during the event. An icon showing the latest reported location is shown. Latest location is updated every 3 minutes while the competitor has the Event Marshal app selected on their phone or tablet. Tapping on an icon on the map will move the log table to that entry if an entry is available.

The four buttons below the map are as follows:

  • Event: Zoom map to show the entire event.
  • Race: Zoom the map to show the race the competitor is taking part in.
  • GPS: Centre the map on the current users GPS location.
  • Location: Centre the map on the latest recorded location for the selected competitor.

Retiring or Disqualifying

Tapping on the retire or disqualify buttons will show the confirmation dialog boxes.

Enter a reason why a competitor is being disqualified or retired and confirm the decision. Once disqualified or retired a competitor cannot be reinstated.

Selecting the 'Sign out of event' option before retiring or disqualifying a competitor will immediately sign out the competitor out of the event. If the option is left unselected, and the event is setup to require competitors to return to registration at the end of a race, a retired or disqualified competitor will need to return to registration in order to log out of the event. '


Map Display

The map shows all available checkpoints and race routes for the event. Alongside the checkpoints the number of competitors logged into the checkpoint is shown.

The buttons available on the top of the screen are:

  • Relocate Checkpoint …: See 'Relocating Checkpoint' bellow for details
  • Zoom Event: Zoom the map to show the selected event.
  • GPS: Centre the map on the users GPS location.
  • Filter:

The Map filter is selected by tapping on the 'Filter' button.

The map can be filtered to show selected races by selecting or un-selecting the races. The 'Apply' button will refresh the map with the new filter. The 'Close' button will clear any previously selected filter and show all races in the event.


Relocating Checkpoint

It may be necessary to relocate or refine the GPS coordinates of a checkpoint to all for safe and reliable automatic competitor logging. This may be because an initial location was an estimate or conditions on the day of the event caused a move of the checkpoint.

To relocate a checkpoint select the checkpoint to be relocated and the map page.

Select 'Relocate checkpoint …' and confirm the move.

The checkpoint will be moved for all marshals logged into the checkpoint and all competitors locations for the checkpoint will be automatically updated.

On the checkpoint screen at the top left an indication of how far the marshal is currently from the recorded marshal point is shown. This should ideally be as small as practical.

It may be desirable to have the marshal a little distance from the recorded checkpoint location. This would facilitate social distancing and prevent a marshal being crowded by Event Marshal app users approaching them for automated logging.

Event Statistics


Standing Down

When a marshal is due to leave a checkpoint location they should stand down. This will log them out of the Event Marshal App and let administrators know they have left the location.

To stand down select the checkpoint name or edit icon at the top of the checkpoint screen. Instead of selecting a checkpoint, select 'Stand Down'. This will automatically log the marshal out from the checkpoint.

The checkpoint can be re-selected at any time as required.
